Managing Training Content
Keep your training content organized and up-to-date with powerful management tools.
Edit Mode
Select and manage multiple training items simultaneously.
Using Edit Mode
Enable Edit Mode
- Navigate to any training tab (Website, Files, Text, Q&A, etc.)
- Click "Edit" button in top-right corner
- Checkboxes appear next to each item
Select Items
- Click checkboxes to select items
- Use "Select All" for all visible items
- Multiple selection supported
Take Action
Choose from available actions:
- Delete: Remove selected content permanently
- Manage Assignments: Assign to specific BV applications
- Cancel: Exit edit mode without changes
Searching Content
Every training tab includes search to find content quickly.
How to Search:
- Enter keywords in search bar
- Results filter automatically
- Clear search to see all items
What You Can Search:
- Website: Domain names and URLs
- Files: File names
- Text: Content titles
- Q&A: Question text
- Google Docs: Document names
- Notion: Page titles
Deleting Content
Select Items
- Enable edit mode
- Check boxes next to items to delete
- Verify your selection
Delete
- Click "Delete Selected" button
- Confirm deletion when prompted
- Items removed permanently
Deletion is Permanent: Deleted content cannot be recovered. Verify selection before confirming.
After Deletion:
- Content removed from training
- Character count updated
- URL count adjusted (for websites)
- Train workspace to apply changes
Assigning to BV Applications
Assign content to specific BrandVox applications (Support BV, Social Media BV, etc.) for targeted knowledge.
Select Content
- Enable edit mode
- Check boxes next to content to assign
Manage Assignments
- Click "Manage Assignments" button
- Select BV applications that should have access
- Click "Save Assignments"
- Train workspace to apply
Assignment Benefits:
- Targeted Knowledge: Give specific BVs relevant information
- Focused Responses: Each BV uses only assigned content
- Better Accuracy: Reduce irrelevant information
Examples:
- Assign product docs to Support BV
- Assign marketing content to Social Media BV
- Assign legal policies to Support BV only
- Assign pricing info to Lead BV
Content Maintenance
Regular Review Schedule
Weekly:
- Check for new content to add
- Review recent additions for accuracy
- Update time-sensitive information
Monthly:
- Audit all training content
- Remove outdated information
- Update Q&A answers
- Re-crawl important websites
Quarterly:
- Complete content inventory
- Reorganize and optimize
- Review character usage
Quality Control
Content Checklist:
- Information is current and accurate
- No duplicate or redundant content
- Clear, descriptive names
- Proper BV assignments
- Regular updates for changing info
