Training Process
After adding content, BrandVox extracts and processes it, then allows you to assign it to specific BVs and train your workspace.
When to Train
Train your workspace when you:
- Add new content (websites, files, text, Q&A, Google Docs, Notion, etc.)
- Delete outdated content
- Update existing training content
- Want to apply changes to your BVs' knowledge
Training Required: Content changes don't take effect until you train. Your workspace uses previous knowledge until training completes.
How Training Works
The training process follows these steps:
- Content Addition - You add content through various methods (websites, files, text, etc.)
- Content Extraction - BrandVox extracts and processes the content (this happens automatically)
- BV Selection & Review - You select which BVs should receive this knowledge and review the content
- Training - BrandVox applies the knowledge to your selected BVs
Starting Training
Add Content
Add content through any of these methods:
- Websites - Full website crawls or specific pages
- Files - PDF, DOCX, TXT, CSV, JSON, XLSX, XLS, XLSM, MDX
- Text - Custom text content
- Q&A - Question and answer pairs
- Google Docs - Documents from your Google Drive
- Notion - Pages from your Notion workspace
The content will be automatically extracted and processed.
Content Extraction
After adding content, BrandVox automatically:
- Extracts text from websites, files, and documents
- Processes and prepares the content for training
- Calculates character counts
- Updates your character usage
You'll see processing status in the system status message at the top of the training page.
Select BVs and Review Content
In the training modal, you can:
1. Select Support BVs
Choose which Support BVs (customer support chatbots) should receive this knowledge:
- All Support BVs are selected by default
- Use "Select All" or "Clear All" for quick selection
- Click individual BVs to toggle selection
2. Select Other BVs
Choose which other BVs should have access to this training data:
- Social Media BV - For social media content creation
- Image Gen BV - For AI image generation (can use knowledge for context)
- Video Gen BV - For AI video generation (can use knowledge for context)
All BVs are selected by default.
3. Review Training Content
- View all content items to be trained
- See character count for each item
- Search through content items
- Remove items you don't want to include in training
- Check total character usage vs. your limit
Start Training
- Verify your BV selections
- Review content items and remove any unwanted items
- Check character count is within your limit
- Click "Start Training"
- Wait for the training process to begin
The selected BVs will receive the knowledge from all content items you've approved.
Training States

| Queued | Waiting in line for processing |
| Training | Content being applied to selected BVs |
| OK | Training complete, BVs updated with new knowledge |
| Error | Training failed |
Queue System
When training is queued:
- See your position in line
- Estimated wait time shown
- Training auto-starts when ready
- Continue working while waiting
Most training starts within a few minutes. Queue wait times vary based on system load.
Training Progress
During training you'll see:
- Progress bar showing completion
- Current training step
- Character processing count
- Time elapsed
Training Duration
Time depends on:
- Content amount (more = longer)
- Content type (websites/files take longer than text)
- System load
- Workspace size
Training Completion
When training succeeds:
- Status updates to "OK"
- Content is live and assigned to selected BVs
- Success notification displays
- Selected BVs now have access to the new knowledge
- You can see assigned BVs on content items in the training list
Training Modal Details
The training modal provides full control over what gets trained and which BVs receive the knowledge.
BV Selection Interface
Support BVs Section:
- Shows all your Support BVs (customer support chatbots)
- Each BV displays with its name and icon
- All Support BVs are pre-selected by default
- Click individual BVs to toggle selection
- Use "Select All" to select all Support BVs
- Use "Clear All" to deselect all Support BVs
Other BVs Section:
- Shows all specialized BVs you have access to:
- Social Media BV - For creating social media content
- Image Gen BV - For AI image generation
- Video Gen BV - For AI video generation
- All available BVs are pre-selected by default
- Toggle individual BVs as needed
Content Review Interface
Content List:
- Displays all pending training items
- Shows content name/title for each item
- Displays character count for each item
- Provides search functionality to find specific items
- Paginated for easy browsing (10 items per page)
Managing Content:
- Click the × button next to any item to remove it from training
- Search for specific content using the search bar
- Navigate through pages if you have many items
- Monitor your total character usage vs. your limit at the top
Character Limit:
- Displayed at the top of the modal
- Shows:
[Used Characters] / [Character Limit] - Updates in real-time as you add/remove items
- You cannot train if over your limit
- Remove items to stay within your limit
Training Controls
Cancel Training:
- Closes the modal
- Discards BV selections
- Returns to training page
- Content remains in "Ready to Train" state
Start Training:
- Begins the training process
- Assigns content to selected BVs
- Disabled if:
- No content items selected
- Over character limit
- No BVs selected
- Training already in progress
Troubleshooting
Best Practices
Before Training
- Review all new content for accuracy
- Remove test or duplicate content
- Verify Q&A pairs are correct
- Check character count against limits
- Select appropriate BVs for the content:
- Select Support BVs if content is for customer support
- Select Social Media BV for marketing/social content
- Select Image Gen BV if visuals should reference this content
- Select Video Gen BV if visuals should reference this content
- Remove any content items you don't want to train
After Training
- Test selected BVs with sample questions
- Verify new content appears in BV responses
- Confirm character count is correct
- Check that content is assigned to the correct BVs (visible in training list)
Managing BV Assignments
- You can change content assignments later using the "Manage Assignments" feature
- Different BVs can have access to different subsets of your training data
- This allows you to customize each BV's knowledge base
- Support BVs typically need broader knowledge
- Specialized BVs (Support, Social Media, Image Gen, Video Gen) may need specific content
